3. Personal data collected as part of the application process
Personal data means any information concerning the personal or material circumstances of an identified or identifiable individual. This includes information such as, for example, your name, address, telephone number and date of birth, but also data relating to your specific career etc. by reference to which a specific individual can be identified with reasonable effort. However, information which cannot be (in)directly associated with your real-life identity is not personal data.

4. Fundamentals and purposes of processing personal data collected from application documents and during the application process
If you apply to us electronically, i.e. via e-mail or using our online form, we will collect and process your personal data for the purpose of executing the application process and preparing contracts.
By submitting an application via our recruitment website, you express your interest in taking up work with us. In this context, you transmit personal data, which we will use and store exclusively for the purpose of your job search / application process.
The legal basis for processing your data during the application process is Art. 6(1)(b) GDPR in conjunction with § 26(1) BDSG (processing for the purposes of deciding on the establishment of an employment relationship). Where we process your data after the application process has concluded in order to defend against potential legal claims, the legal basis is Art. 6(1)(f) GDPR, based on our legitimate interest in legal defence.
In particular, the following data is collected during this process:

Depending on the position, the application form may include further role-specific questions (for example, additional language skills or certifications). Any such fields are shown to you in the form before you submit your application.
Furthermore, you can choose to upload expressive documents such as a cover letter, your CV and reference letters. These may contain additional personal data such as date of birth, address etc.
Only authorized HR staff and/or staff involved in the application process have access to your data.
The personal data is stored, as a rule, exclusively for the purpose of filling the vacancy for which you have applied.
To assess the suitability of applications for the advertised role, we use AI-assisted analysis as a support tool. The documents you submit (in particular your CV and cover letter) and the information you provide in the application form are analysed with the assistance of an AI system in order to structure the information they contain and compare it against the requirements published in the job advertisement. The result of this analysis is a summary and an assessment proposal for the staff involved in the application process. The legal basis for this processing is Art. 6(1)(b) GDPR in conjunction with § 26(1) BDSG. It is carried out for the same purpose as the rest of the application process, namely deciding on the establishment of an employment relationship.
Providing your data is neither legally nor contractually required. However, we need the data marked as mandatory in the application form in order to process your application. Without it, we are unable to consider your application.
Your data will be stored for a period of 180 days after the application process has been concluded. This is usually done to fulfill legal requirements and/or defending ourselves against any claims arising from legal provisions. After this period, we are obligated to delete or anonymize your data. In case of anonymization, the data will only be available to us in the form of so-called metadata, without any direct personal reference, for statistical analysis (for example, number of applications per specified period of time etc.).

5. Automated decision-making and AI support
We do not make decisions about your application on a solely automated basis within the meaning of Art. 22 GDPR. Every decision on your application, including the decision to reject it, is taken by our staff on the basis of a review of your application by a person.
As described in section 4, we use an AI system as a support tool when reviewing applications. This system produces summaries and assessment proposals. It does not take decisions, it does not automatically reject applications, and its output is not binding on the staff who decide.

6. Disclosure of data to third parties
Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. This database is operated by Personio SE & Co. KG, which offers a human resource and applicant management software solution (https://www.personio.com/legal-notice/). In this context, Personio is our processor under article 28 of the GDPR. In this case, the processing is based on an agreement for the processing of orders between us as the controller and Personio.
If you contact us by email, or if we contact you via email, your data is additionally processed via Google workspace, provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google acts as our processor under Art. 28 GDPR on the basis of a data processing agreement.
For the AI-assisted analysis of applications described in section 4, we use Claude, a service provided by Anthropic Ireland, Limited, 6th Floor, South Bank House, Barrow Street, Dublin 4, Ireland. Anthropic acts as our processor under Art. 28 GDPR on the basis of a data processing agreement. Under that agreement, the data transmitted is not used to train the provider's AI models and is not used for any purpose other than providing the service to us. The data is deleted after 30 days.
For scheduling interviews, Personio uses Cronofy B.V. (Netherlands) as a sub-processor. Where an interview is scheduled with you, your name and email address may be processed for the purpose of creating the calendar invitation.
We do not transfer your application data to any other third parties unless we are legally obliged to so, or you have expressly consented.
Application data held in our applicant management system is stored on servers located within the European Union. For the AI-assisted analysis described in section 4, the data submitted for analysis is processed by sub-processors of our provider located in the United States. These transfers take place on the basis of the standard contractual clauses adopted by the European Commission pursuant to Art. 46(2)(c) GDPR, which form part of our data processing agreement with the provider, supplemented by additional technical and organisational safeguards. You may request further information on these safeguards from us using the contact details in section 2.

7. Rights of data subjects
If we as the controller process personal data, you as the data subject have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and the purpose of the processing, in particular the right of access (article 15 of the GDPR) and the rights to rectification (article 16 of the GDPR), erasure (article 17 of the GDPR), restriction of processing (article 18 of the GDPR), and data portability (article 20 of the GDPR), as well as the right to object (article 21 of the GDPR). If the personal data is processed with your consent, you have the right to withdraw this consent under article 7 III of the GDPR.

We are not legally required to appoint a Data Protection Officer and have not appointed one. Requests are handled directly by the controller named in section 2.

8. Concluding provisions
We reserve the right to adjust this data privacy statement at any point in time to ensure that it is in line with the current legal requirements at all times, or in order to accommodate changes in the application process or other processes.
